ASC Appointment Policies and Guidelines

NO SHOWS: In the event a student does not show up for their scheduled appointment, they will be marked as a no-show and will receive notification via their PSU email.  Students' accounts may be DEACTIVATED after 3 no-shows. Once a student's account gets deactivated, will have to personally meet with the ASC Director to get the account reactivated. Each student is allowed to have their account reactivated once per semester. On the second offense, the student will be limited to walk-in appointments only. 

If the student is over 10 minutes late for a thirty-minute appointment or over 15 minutes for an hour appointment, the staff/resource will count the appointment as a no-show. During peak times of the center, the staff/resource may mark an appointment as a no-show if enough time is not given for cancellation. Generally, clients should provide at least 2 hours’ notice if they are unable to attend an appointment.


CANCELLATION: The ASC policy states that clients and resources are the only ones permitted to cancel appointments in the system on the day of the appointment. This means that other ASC staff should not cancel an appointment for a student. Students must go onto the schedule and cancel the appointment themselves. If they are unable to cancel the appointment, they must email the staff/resource directly. If anyone else is informed of the need to cancel, they will relay the message to the appropriate resource. The resource will then decide if the appointment should be cancelled or no-showed. There are no limits to the number of times a student can cancel an appointment.

Appointment Reminders: An email reminder is sent before The student’s appointment. If a student has opted-in to receiving text messages, then the reminder is sent via text.

Recurring Appointments: Recurring appointments are defined as appointments scheduled for the same time/day each week for the entire semester. All recuring appointments must be approved by the ASC Director.

Client Scheduling Limits: Limits are imposed on each specific schedule and apply to the use of all resources on that specific schedule.

  • Maximum Appointments per week: 5 
  • Maximum Appointment per month: 10 
  • Max time per day: 3 hours 
  • Max time per week: 8 hours 

> >  Example: a student can only schedule 5 total appointments with professional staff per week and 5 appointments with peer staff per week if they appear on separate schedules.
